Secure Intake - Enterprise Tier
Authenticated, encrypted document submission for high-sensitivity engagements. NDA precedes file transfer.

Arkan offers multiple intake channels matched to document sensitivity. WhatsApp is appropriate for routine personal documents; for litigation evidence, M&A diligence, medical records, IP filings, and other high-sensitivity matters, the secure intake channel is agreed with the client before work begins and documented in the SOW. Options may include the client's existing secure upload system, encrypted email, a controlled cloud folder, in-office delivery, or another mutually approved channel.

High-Sensitivity Flow
- Discovery call - scope, matter type, urgency, language pair, target receiving authority. No documents transferred at this stage.
- Mutual NDA execution - Arkan's standard or the client's reviewed standard. See Mutual NDA Framework.
- Statement of Work - scope, deliverables, timeline, pricing, acceptance criteria, named project manager.
- Intake channel agreed - the secure channel for this engagement is named in the SOW: typically the client's existing secure portal, encrypted email, a controlled cloud folder, or in-office delivery. Access credentials, retention, and audit-logging follow the chosen channel's controls.
- Document transfer - files transferred via the agreed channel; each transfer logged per the SOW.
- Operations check - receiving authority, certification tier, format requirements verified before translator assignment.
- Named-translator assignment - translator's NDA and credentials confirmed for the matter type.
- QA review - independent project-scoped review.
- Certified delivery - through the agreed channel or by appointment-based hand-off.
- Secure destruction or extended retention - per the client's written instruction in the SOW.
Why Not WhatsApp for Enterprise
WhatsApp is end-to-end encrypted in transit, which is appropriate for routine personal documents. For enterprise high-sensitivity work, WhatsApp has limitations that an operator-agreed secure channel does not:
- Device-side backups: messages can be backed up to iCloud or Google Drive on the receiving device, depending on user settings. The encryption guarantee is between devices in real time, not at rest on backup services.
- No project-scoped audit log: there is no per-engagement access trail suitable for litigation hold or regulated-data classification.
- No authenticated account boundary: phone-number identification is weaker than account-tied credentials for high-value matters.
- Limited file-type and size controls: not engineered for large document bundles with diligence-room structure.
For enterprise needs the agreed channel - most often the client's own secure system, an encrypted email gateway, or a controlled cloud folder - provides per-engagement authentication, access logging, encryption at rest, retention controls, and a clean handoff to chain-of-custody documentation suitable for the matter.
How the Agreed Channel Works
The SOW names the specific intake channel for the engagement. The client and Arkan agree, in writing, who has access, how access is authenticated (e.g., client-portal credentials, secure-email gateway, named-account cloud-folder permissions), how each transfer is logged, how documents are stored at rest, and the retention period (default 30 days post-delivery; extended retention on written request). Certificate of destruction is available on completion. Where the client requires Arkan to operate within the client's own infrastructure (their secure portal, their cloud tenant), Arkan complies with the client's access-control and audit requirements.
Identity Verification at Office Drop-Off
For in-person handoffs at either registered office:
- Appointment booked in advance through info@arkanlegaltranslation.ae or WhatsApp.
- Photo ID required on arrival (Emirates ID, passport, or comparable).
- Receipt issued with project number and chain-of-custody timestamp.
- Documents handed directly to operations personnel; not left at shared reception areas.
- For high-sensitivity originals: courier with chain-of-custody documentation can be arranged on request.
